Onboarding and Keys
Please complete the New Hire/ Key form below if you are a Faculty or Supervisor requesting onboarding or keys for a non-academic appointment employee or volunteer
To be completed by the employee or volunteer who will be issued keys:

Room Reservations
Room Reservation requests can be made through the Facilities Reservation System.
How to reserve a room using the Facilities Reservation System:
1. Enter the date you'd like to reserve a room for.
2. Select your department from the "Facility Owner" drop down menu.
3. A "Security Code" section will appear, please use your general department code.
4. Under "Facility", select the room you'd like to request the reservation for.
5. Click the time you'd like to reserve the room for, then enter details for the reservation request: name of event, expected capacity and type of event. You may also change dates and times in this section.
6. Read and check the "facility usage agreement and cancellation policy" and submit the form.
7. You will receive an initial confirmation email once your request has been submitted. Please allow up to 24 hours for a determination to be made. Approval/denial will be communicated by CHASS Facility Reservations via email.
If there is another room you'd like to reserve that is not listed under your department, or if you need a larger capacity room, please send your request to beesadmin@ucr.edu. Please note that these requests will need to be made at least 14 days in advance.

Shipping and Receiving
Our Receiving room is located on the second floor of the Geology building in room 2460B.
Package pickup and drop off times are between 8am-12pm and 1pm-5pm.
Receiving a Package
Our receiving team will send an email once your package has arrived to our office. We send arrival emails as soon as packages reach us, which could be as late as 4:30pm.
We will hold packages if needed, but due to limited space we ask that packages be picked up within 48hrs of arrival.
Cold or perishable packages will be placed in Cold Room 206 if not picked up within 2 hours of arrival time.
Please note that tracking numbers will show when your package has arrived at UCR's Receiving Services located in the Corporation Yard. It may take a few hours to a day to reach us at our receiving room after arriving at Receiving Services.
Shipping a Package
If you would like to send a package please have the full address and contact information of the recipient ready. You may bring this information to our office with your package or email us at beesadmin@ucr.edu. A COA with PI approval is also needed to cover the cost of shipping unless you are providing your own shipping label.
Express shipments will be sent out day of if received before 11:30am. We cannot guarantee a FedEx pickup for same day after that time.
Once your label has been prepared we will provide a FedEx tracking number.

International Shipping
If you are shipping a package outside of the U.S. then you must submit a Request to Ship Form with UCR's Export Control Office to proceed. This form must be emailed to exportcontrol@ucr.edu to determine items export control classification and to determine whether an export license is required. Once this information is obtained, please forward to beesadmin@ucr.edu so we may proceed with the shipment.
Mail is distributed by 3pm daily Monday-Friday.
USPS mail is handled by UCR Mail Services.

Purchase Order and PCard Requests
Please complete the request form with all required information for your transactor to review and process. Forms lacking essential details cannot be submitted, so ensure that all mandatory fields are completed.

Should there be any additional inquiries or necessary information, a member of the BEES procurement team will contact you directly.
Facilities Work Orders
Requests for repairs or services should be directed to the Maintenance/Facilities Request Form. Please provide the building, room number and a detailed response on what the issue is. Please email April Garcia (aprilga@ucr.edu) to follow up on any requests.

Injury/Incident Reporting
For an emergency or life-threatening injury, call 911 or UCPD at 951.827.5222.
If you are injured, please seek medical attention first!
Once your immediate needs are taken care of, UCR does ask that an incident report is submitted. A report can be submitted by either the injured employee or their supervisor if the employee is unable to do so.
A report should be submitted within 24 hours of the incident via a link on the UCR Risk Management website.
